Email Group
An Email Group in ERPNext would consist of a set of e-mail addresses of subscribers which can be used to send them news letters or any announcement or any kind of specific communication. Email Groups will help the company to handle and group its subscribers based on some criterion such as the type of customer, region, product of interest or the affiliation of an internal team.
For instance, you might create:
- A group of prospective customers interested in a particular product.
- A list of current customers divided by location.
- A list of in-house employees with all emails for company announcements.
Utilizing Email Groups provides the benefit that messages are directed to the correct audience and enables effective campaign targeting within ERPNext's integrated email marketing functionality.

1. How to Create a Group Email
- Go to the Email Group list and select New.
- Type a Title for the group (for example, "North Region Customers" or "Product Launch Subscribers").
- Click Save.
- To add subscribers, click on Action > Add Subscribers.
- Type in one or more email addresses in the input field (multiple addresses separated by commas).
- Select Add.
ERPNext also has bulk subscriber additions, which can be time-saving when dealing with large lists.
2. Features
2.1 Retrieve Email Addresses from Transactions
Email addresses from current ERPNext Transactions or Master Records can even be imported directly.
- Select Action > Import Subscribers.
- Go to a source document – for example Lead, Customer, Supplier, or Contact.
- Press "Import", and ERPNext shall automatically retrieve and import all the available email IDs from that file into the chosen Email Group.
The feature assists in keeping subscriber lists updated without the need for manual entry of data.
2.2 Email Templates
You can personalize subscriber interactions through Email Templates for welcome and confirmation messages:
- Confirmation Email Template – Automatically sent to an individual when subscribing to an Email Group (e.g., through the website or manual addition requiring confirmation). The subscriber has to confirm before being allowed to receive newsletters.
- Welcome Email Template – Delivered on subscription confirmed. This may be employed to greet new subscribers, get to know about your business or useful starter stuff.
