A Newsletter in ERPNext is a way for businesses to send information or ads to a set list of subscribers on a regular basis. As a strategic tool in CRM (Customer Relationship Management), it helps keep customers and potential customers interested.

A newsletter is usually a type of CRM that - Informational: Sharing news, updates, or educational content about the company. - Promotional: Putting the spotlight on products or services to gently push subscribers to do what you want them to do, like buy something or sign up for a service.

But newsletters aren't just for customers. Newsletters can also be used by businesses to talk to:

Employees (for example, to give them internal updates) - Investors (for example, quarterly results or important milestones) - Partners and Suppliers

You need to make Email Groups before you can use the Newsletter feature.

These groups tell who will get the newsletter.

1. How to Make a Newsletter

Follow these steps to make and send a newsletter from ERPNext:

  • Click on New in the list of newsletters.
  • In the RECIPIENT table, choose the Email Group.
  • You have to pick one or more Email Groups.
  • There is a list of subscribers in each Email Group.
  • This makes sure that the right people get your newsletter.
  • Type "Subject" This is what the email's subject line will say to the people who get it.
  • Make sure the subject is clear and interesting to get more people to open it.
  • Type "Message" in. This is the main part of your newsletter.
  • You can add text, pictures, links, or HTML formatting.
  • Use this part to get your point across, promote deals, or give updates.
  • "Publish" the newsletter so that people can see it online.
  • After it is published, the newsletter can be found through a web link.
  • This lets people who don't read email or who haven't signed up to read the newsletter online.
  • Check the box next to "Send Unsubscribe Link" (optional). This option adds a link to the email that lets people unsubscribe.
  • If subscribers don't want to get any more newsletters, they can choose to opt out. -Adding this link is a good idea to follow anti-spam laws like the GDPR.
  • "Send Web View Link"
  • When you choose this, a link is added to the email that lets the person open the newsletter as a web page.
  • This choice only shows up after the newsletter has been sent out.

Save your newsletter after you finish these steps. It will be stored by ERPNext and readied for sending.

2. Characteristics

2.1 Make Subscriber Groups

  • You need to put your newsletter recipients into Email Groups before you send it.

    These groups let you:

  • Focus on certain parts of your audience (like new customers, VIP clients, or internal staff).
  • Make sure that the right people get the right content.

You can choose more than one Email Group in the RECIPIENT table when you send a newsletter. - For a big announcement, you could choose both "Product Updates Subscribers" and "Marketing Subscribers."

2.2 Schedule Send

  • You can set up your newsletter to be sent out in the future with ERPNext.
  • You can choose the exact date and time (in hourly steps) that you want the newsletter to be sent.
  • This helps plan campaigns ahead of time.

For example Use Case:

Write your newsletter today, but set it to go out at 9 AM next Monday to get the most people to read it.

2.3 Test the newsletter before sending it to subscribers.

  • You can test your newsletter in ERPNext before sending it to a lot of people to make sure there are no mistakes and check the formatting:
  1. Give a test email address.
  2. Click "Test."
  3. ERPNext will send a test email with a sample newsletter to the email address you gave.
  4. Look over the sample email carefully to see if the layout and formatting are correct.
