Asset Maintenance Team

Asset Maintenance Team is a special unit of individuals charged with the responsibility of carrying out maintenance jobs aimed at ensuring that the organizational assets remain in the right shape throughout the lifecycle of their operations. Maintenance may be comprised of cleaning, lubrication, calibration and polishing, servicing, repairs or other routine and non-routine activities as needed to perform preventative or corrective maintenance.

ERPNext has a systemized approach to creating and managing maintenance teams, thus allowing for the team to be properly coordinated, allocated and followed up on team members being placed on assets or maintenance jobs.

To view the Asset Maintenance Team, proceed as follows:

Home > Assets > Maintenance > Asset Maintenance Team

1. Prerequisites

Prior to creating and utilizing an Asset Maintenance Team, make sure the following records have already been created:

  • Employee: The team members need to be registered employees in the system.
  • Asset: The asset(s) on which the maintenance is to be done should exist in the Asset master.

Having these records ensures that team members can be allocated to particular maintenance tasks on valid asset entries.

2. Creating an Asset Maintenance Team

Use the following steps to create and set up a new Asset Maintenance Team:

  1. Click on the Asset Maintenance Team list and press New.
  2. Input a Team Name that describes the maintenance team (e.g., "HVAC Team" or "Electrical Maintenance Unit").
  3. Choose a Team Manager from the Employee list. The manager will be in charge of all operations and coordination for the team.
  4. In the Maintenance Team Members table:
  • Add the team members by selecting Employee records.
  • Assign particular Maintenance Roles to each member of the team (e.g., Technician, Supervisor, Electrician).
  • If desired, you can assign priority levels, working shifts, or region-wise details for specialized maintenance groups.
  1. Click Save.

With a special team organization in ERPNext, you can manage the work orders more effectively, assign the responsibilities to each person clearly and track the performance of all activities associated with maintenance.
