Quality Procedure
Added in Version 12
A Quality Procedure is a Standard Operating Procedure (SOP) which serves as a formal document to guide carrying out day-to-day activities in a controlled and consistent way.
An Standard Operating Procedure (SOP) is a written set of step-by-step instructions prepared by an organization to have employees perform day-to-day operations with efficiency, precision, and adherence. SOPs are intended to deliver consistent quality output, minimize performance variability, eliminate miscommunication, and maintain compliance with industry standards and regulations.
A Quality Procedure in ERPNext can be of two types:
- Basic Procedure: A procedure with straightforward sequential steps to be executed in order to meet a specified Quality Goal.
- Master Procedure with Sub-Procedures: A master procedure that has attached sub-procedures, each possibly having steps of its own, allowing intricate processes to be divided into manageable parts.

1. How to Create a Quality Procedure
- Select New from the Quality Procedure list.
- Type a name that clearly identifies the purpose of the Quality Procedure.
- Enter a more detailed explanation of the procedure, including all steps, directions or instructions in the Processes table. This could involve expectations, what should be done and the way things work.
- Child Procedure: In a situation where the procedure developing is a sub-procedure of a parent procedure, attach it as a sub-procedure. When a sub-procedure is connected the 'Is Group' check boxes will identify it as a parent procedure enabling a hierarchy of grouping.
- Save the record. A Quality Procedure may be saved without process steps in full detail even where the title of the procedure is self explanatory or where the procedure itself serves as a parent procedure.
The Parent Procedure is associated with the Child Procedure for logical ordering. For instance, "Issue Classification" should be done before "Issue Resolution," making "Issue Resolution" the parent to this association.
2. Features
2.1 Using Quality Procedure in Quality Goal
When a Quality Procedure has been developed, it may be directly linked to a Quality Goal. When goals are inspected or reviewed, the corresponding procedures will automatically be called upon, and thus, the proper steps to meet desired quality will be guided in a structured manner.
2.2 Sub-Procedures
Processes outlined in a Quality Procedure can be individual instructions or calls to another Quality Procedure. This enables it to link several related procedures together, so that complicated workflows are charted and executed systematically.
2.3 Hierarchical View
ERPNext offers a tree view for Quality Procedures, which allows viewing of parent and child procedures in a hierarchical way. This facilitates easy navigation, visualization, and maintenance of related processes, so dependencies and order of execution are clearly understood.
