CRM Settings in ERPNext allows you to configure and customize the way settings of your leads, opportunities, quotations, and related communications will be managed regarding your business rules to run your company. The settings enable standardization of processes, data accuracy and automation of mundane tasks and this makes your sales process easier.
How to access:
Lead
1. Campaign Naming By
This environment provides for consistency in campaign naming. You can set up ERPNext to automatically create campaign names from predefined patterns, for example:
- [Year]-[Campaign Type]-[Sequence Number]
- Using naming series associated with the campaign document.
This provides all campaigns with a standardized, easy-to-search format and minimizes the possibility of duplicate or confusing campaign names. This is particularly convenient when you have more than one marketing campaign running at the same time through different channels.
2. Permit Lead Duplication Based on Emails
If turned on, ERPNext will permit various leads to be created with one email address.
- When to use: Helpful if multiple leads are managed for the same contact with various campaigns or business units.
- When to disable: Suggested to have it off if your sales process demands strict unambiguity for every email so as not to confuse.
3. Auto Creation of Contact
If enabled, for each new lead created, ERPNext creates a matching Contact record automatically. This ensures that:
- Contact information is standardized.
- You are able to assign the same contact to multiple transactions later (e.g., Opportunities, Quotations).
- The CRM is clean and prevents lost communication history.
Opportunity
1. Close Replied Opportunity After Days
This environment maintains your opportunity list clean by automatically closing expired opportunities that haven't been touched in a set number of days.
- Operates on opportunities other than Open status.
- After the specified number of days have elapsed without anything happening (email, comment, status change), ERPNext sets the status to Closed.
- Allows sales teams to concentrate on live deals and not be burdened with debris from stale ones.
Quotation
1. Default Quotation Validity Days
This bone decides the number of days that a customer will be given to accept a quotation before it expires.
- The valid till date is set in ERPNext to 30 days of the day a quotation has been posted.
- You can adjust this value globally in CRM Settings, and it would apply to all new quotations.
- Users may continue to manually update the Valid Till Date on individual quotations as required.
Tip: With a shorter validity, it is possible to expect faster customer decision whereas an extended one is suitable in long or complex selling cycles.
Other Settings
1. Carry Forward Communication and Comments
Enabling this setting:
- All emails, notes, and comments associated with a lead will automatically be carried over upon conversion to an opportunity.
- Likewise, opportunities' comments and emails will be carried forward upon converting to a quotation.
This preserves that communication history is in one piece and usable at every point in the sales pipeline, giving more context to sales teams without having to manually copy-paste.
