Tags
ERPNext Tags provide an easy, concise yet effective way to classify and sort through the type of documents into easily identifiable parts. They are similar to tags, enabling you to cluster related records together across numerous DocTypes without changing the underlying data structure.
Similar to Comments and Assignments, tags are added directly from within any document. New tags can be created on the fly, or select among existing ones already in your ERPNext system. This makes them a dynamic classification tool for easy reference and high-level filtering.
Filtering by Tags
As you navigate through a document list, you can filter records by choosing one or more tags. This gives you an immediate method of limiting results and finding just what you are looking for without the need to use multiple field-based filters.
The list view will also display tag counters, allowing you to have a quick overview of the number of documents attached to each classification. This facilitates tracking project progress, classifying leads, or task priorities.
Retrieving All Tagged Documents
Global search can be used shortly after applying a particular label to a given document, and you will easily find them:
- In the search bar near the top-right corner of the page (press the globe in that corner) type #tagname without the quotes.
- Choose the corresponding tag from the results.
For instance, if you've tagged a number of documents with project 19, all you need to do is enter #project 19 in the search field. ERPNext will immediately present you with all records associated with that tag from various modules and types of documents.
This comes in handy for cross-module organization—helping you locate related documents like Tasks, Issues, and Sales Orders in the same tag.
Tags in Reports
Tags are also completely searchable and filterable within ERPNext reports. When you create or look at a report, you can filter by one or many tags, and this allows you to:
- Filter out records about a specific campaign, client, or project.
- Create performance reports for certain types of work.
- Split big datasets without adding new custom fields.
Because tags are system-wide, you can employ them to create cross-functional insights—such as associating project-specific Purchase Orders with their respective Tasks and Issues in one report.
This tagging system in the new ERPNext offers a light but very powerful means of classification, making information retrieval and categorization more natural, flexible, and efficient platform-wide.
