Maintenance of Assets

Asset maintenance in ERPNext refers to a formal and automated process to manage the complete life cycle of business assets. From acquiring to disposing, ERPNext allows for precise tracking and maintenance of tangible and intangible assets.

Representation of assets will have given assets entries involving essential entries such as date of acquisition, gross purchase price, location of assignment, custodian, and selection method of depreciation. After recording that an asset is in need of some maintenance by writing the check box of Maintenance Required in the entry of the asset, ERPNext allows one to plan and schedule the service intervals well in advance.

The system allows for preventive maintenance scheduling on either calendar-based (e.g., 6 months) or usage-based triggers (e.g., 1,000 machine hours). Every scheduled maintenance can be attached to a Work Order, through which responsibilities can be delegated to particular employees or departments. This ensures accountability and proper tracking of every maintenance job.

ERPNext also keeps maintenance logs for each asset, collecting detailed information such as type of service, date of maintenance, parts replaced, costs incurred, and the personnel involved. Not only do these logs serve to maintain service history but also produce a strong audit trail for compliance as well as internal reviews.
