Calendar

The Calendar is a feature that assists you in creating, sharing, and managing events on your ERPNext account. It provides an easy-to-use interface for booking personal and organizational tasks so that there can be improved time management and collaboration among the users.

You can have a Day, Week, or Month view within the calendar. The views grant adaptability in the manner of viewing activities and structuring as well as drag & drop and responsiveness.

1. Adding Events in Calendar

  1. Click Calendar then New.
  2. Enter the Subject and the Start Date of the event. You can also mention the End Date, delegate the event to another user, and include optional fields like location, description, or reminders.
  3. Save.

Alternatively, you can even create an event using the 'Day View' of the Calendar. This view is divided into different slots of the day. You may pick the slot of the event start time, type in the event subject and drag down to the event end time. This gives a visual and speedy method of blocking time for an activity.

1.1. Event Based on a Lead

In the Lead one there are lines called Next Contact By and Next Contact Date. By just putting in a date on these fields and the User, an event will automatically be created on that particular date and time on behalf of the User.

This feature ensures that the previous platform automatically sets the activities on the leads and they never fail to appear on the Calendar of the defined user without human involvement.

1.2. Event Based on Job Cards

For each Job Card that is created for a User within the ERPNext account, a matching event will be generated in the Calendar. This gives real-time visibility into scheduled manufacturing or maintenance work straight from the calendar view. The incident records the scheduled time of the job and the allocated employees taking another convenient way in which users of the shop floor and supervisors can easily check daily processes.

1.3. Birthday Event

A Birthday Event is generated on the basis of the Date of Birth entered in the Employee master. From the latest version of ERPNext, these events get automatically generated and optionally can be made visible to particular user roles or departments. This encourages good organizational culture by allowing birthday wishes on time or automated mail reminders to colleagues or HR teams.

1.4. Recurring Events

In an organization there can be certain events that should recur every now and then at scheduled intervals. In ERPNext, you can design such events by turning on the 'Repeat this Event' property for the concerned event. When this checkbox is chosen, the system asks for how often you want it to recur under the 'Repeat On' field — this would be Daily, Weekly, Monthly, or Yearly, depending on the requirement (say, weekly team meetings or monthly report cycles).

You can also input the last day of the recurring cycle in the 'Repeat Till' field. This field defines when the recurring cycle should cease. In cases of infinite repetition, you may prefer to leave this field blank. The system will continue to schedule instances indefinitely unless manually stopped or changed. However, all instances of a recurring series behave like an individual event but are always linked back to the set.

1.5. Event Reminders

You have two options for receiving email reminders for an event:

Enable Reminder in Event Ticking "Send an email reminder in the morning" in the Event master will send a notification email to all participants of the event. The reminder mail would carry regular data on event name, time, description, etc. and would be sent in the morning of the specified event time to remind the users of the event.

Create Email Digest To receive scheduled email reminders for all events or aggregate future activities, you need to set an Email Digest for Calendar Events. This comes in handy when users want summary notifications instead of individual ones.

Here you can specify what events to share, how often (e.g., every day, every week), and who receives it, providing an efficient means of disseminating calendar activity changes to users or departments.
