Employee Check-in

The Employee Checkin tool maintains track of when employees come and go.These kinds of logs are great for keeping track of employees' shifts, figuring out when they're on duty, and keeping an eye on people in the office.
Most businesses use these forms to figure out how much overtime to pay workers and how to follow the rules about work hours.
You can utilize the function in either automated or manual mode, depending on whether you are using biometric devices, geo-fencing, or entering data by hand.

1. Needs

You need to do the following things before you may check in an employee:

  • Worker:

    The first thing your system needs to do is make an employment record for you. That record must have the department, employee ID, and date of joining.

  • Getting ready for work (if needed): To handle auto-attendance and automatically plan shifts for check-in records, you need to do the following:

  • Shift Type Set guidelines for working hours, breaks, and how to tell if someone is late or early.

  • Shift Assignment* or *Default Shift in Employee Master: You can either give each employee a default shift or give one employee a shift for a set amount of time, The system will be able to automatically link the log to the right shift if you do this.

    A well-planned shift schedule makes ensuring that all attendance, overtime, and exceptions are counted correctly, which also cuts down on mistakes in payroll and reports.

2. How to check in a worker

2.1 Making logs by hand

To begin, pick "Human Resources > Attendance > Employee Checkin
  1. Click "New" to get to the form for a new log.

  2. Choose "Employee" from the list.

  3. Type in the Date and Time of the log entry to double-check that the shift mapping is right.

  4. For check-in, choose "IN," and for check-out, choose "OUT."

  5. Hit "Save."

  • If shifts and shift assignments are already set up, ERPNext will automatically find and give the right shift depending on the check-in time after you save the record.

  • If the entry hasn't been logged yet, the Fetch Shift button will ask for and apply the correct shift if it was allocated incorrectly because it wasn't set up ahead of time.

  • You can also turn on the "Skip Auto Attendance" option to make sure that a certain check-in or check-out is not recorded when attendance is collected automatically.

  • It helps find mistakes and run tests.

    You can also write down other information, like the location of the check-in and the Biometric Device ID that was used, to assist you remember it later.

    If "Auto Attendance" is turned on, the system will automatically connect the right "Attendance" document to the check-in record when a day's worth of IN/OUT logs are done.

2.2 How to link biometric devices to Frappe HR

*You may have ERPNext automatically make check-in logs by linking biometric devices like RFID cards, fingerprints, or facial recognition to Frappe HR. You don't have to enter them by hand.

  • This integration makes it less likely that mistakes will arise, makes sure that everything is correct, and makes sure that changes happen right away.

  • The official ERPNext documentation has more information about which devices work with biometric integration and how to set it up.

  • This will be particularly helpful for big businesses who get hundreds of check-ins every day and can't enter them in by hand.

3. What it has

3.1 Keeping an eye on where you are

ERPNext can also keep track of the geolocation of each check-in and check-out, which lets organisations see where their workers are checking in.

To enable this on, go to HR Settings and click the box next to Allow Geolocation Tracking.

  • Once you turn on this feature, you may click the "Fetch Geolocation" button on the check-in form to retrieve the latitude and longitude of where you are right away.

  • This capability will be very useful for field agents, remote workers, and staff members who go to clients' places of business.

  • If geolocation tracking is turned on, the ERPNext mobile app will automatically record where employees are when they clock in. They don't have to push a button, in other words.

  • This is a foolproof technique to keep an eye on operations and make sure they follow the regulations.

3.2 Check-in Log Indicator

  • The system pulls up the date and time of a check-in or check-out record to find the right shift.

  • If there isn't a shift available right now, the record will say "Off-Shift."

  • This status lets you know that the log does not match any of the shifts that were given to it.

  • We don't process off-shift label records since we need proper shift assignments to figure out auto-attendance.

  • This stops HR teams from making mistakes when they collect attendance and makes it easy for them to uncover mistakes that need to be corrected.

    For instance, if an employee is not working, the system will not consider late-night clock-ins as part of their regular workday.
