Salary Slip

A Salary Slip is an official paper that the company delivers to an employee that shows all the parts of their pay for a given pay period. It covers all the money you make and all the money you owe, like taxes, allowances, and required payments like social security and the provident fund. It also shows how much you owe in total. When you use ERPNext (Frappe HR) to handle payroll, it automatically makes salary slips. This makes sure that managing salaries is correct, easy to check, and open.

1. What you need

Before you make a Salary Slip, you should do or set up the following:

1.2. Worker

Check to see that the Employee record is there and working. The employee's name, number, joining date, and company are all pieces of information that need to be set up correctly.You also need to provide the employee a real Cost Centre, Department, and Branch (if the company has one).

1.3. How Pay Works

A wage structure tells an employee how much money they will make and how much will be taken out of their compensation. It needs to have the correct pieces, tax settings, and payment plans (monthly, weekly, etc.). Some jobs, classifications, or pay tiers may have their own Salary Structure.

1.4.Setting up the salary structure

Every worker should have a current Salary Structure Assignment that shows them which Salary Structure to use, as well as the start and end dates, base pay, and variable pay settings.This will make it such that the Salary Slip automatically gets the right pay and deductions.

2. Writing a Salary Slip

  • Click "New" on the list of Salary Slips.

  • Pick an employee.When you choose an Employee, ERPNext obtains all the information it needs from the proper Salary Structure Assignment right away.These are:When you are compensated

  • Tax Bracket That Applies

  • Settings for Leave Without Pay (LWP)

  • Default department and cost centre

  • The system also collects any extra pay or deductions the employee has for the same time period through Additional Salary entries.

  • Choose a date to start and a date to end.These dates show when the pay will be due.ERPNext will automatically keep track of all the days worked and the days off that don't get paid.

  • You can connect this Salary Slip to a Payroll Entry if you do payroll in bulk.

  • Check the deductions and earnings on the pieces you got back, and then save the record. Before you send them in, you may see how much they were.

  • You can save this Salary Slip as a PDF and then print it, email it, or store it.

3. Feature

3.1: Salary Slip based on Attendance/Leave

  • HR users can produce pay stubs that show whether someone was at work or on leave. We will use the HR Settings option under "Calculate Payroll Working Days Based On" to find out how many working days there are.

  • Leave Without compensation (LWP) days will be reported as days off if compensation is based on attendance.

  • Half-days are calculated in a method that makes sure the proper amount is taken out of pay.

  • ERPNext automatically changes the amount that has to be paid by adding Leave Applications and Attendance Records to payroll calculations.

  • This function makes sure that payroll is correct even if workers are late to work, take time off, or don't get paid for their time off.

3.2. Pay Stub Based on Timesheet

  • If you pay your employees by the hour instead of a set monthly rate, ERPNext makes it easy to make wage slips right from their timesheets. This comprises hourly workers, contractors, and consultants.

  • You must set up a Salary Structure for Timesheets that contains an Hour Rate in order to use this functionality.

  • Click the "Create Salary Slip" button in the top right corner of the Timesheet form once you send it in. ERPNext will automatically retrieve the total billable hours and figure out the payment based on the Hour Rate provided in the Salary Structure.

  • This will show up automatically in the Earnings table on the Salary Slip. The Timesheet-based Salary Slip also shows the project, task, and total hours worked. This allows both the HR and Accounting teams keep track of the link between pay and work.

3.3. Month to Date and Year to Date

  • For all Salary Slips, ERPNext automatically calculates the Month to Date (MTD) and Year to Date (YTD) amounts. This shows just how much each worker has made and lost over time.

  • Since: Year to Date (YTD): This is the total amount of money the employee has made since the start of the fiscal year or payment period and up to the end of the current Salary Slip. This is the entire amount of money that the employee has been paid from the start of the current month to the end of the Salary Slip.

  • We provide these values at both the summary level and the component level. You can print a "Salary Slip with Year to Date" that shows the full YTD and MTD amounts for each part of your income and deductions. This is quite useful for year-end reconciliations, summaries of income tax, and financial reports.

3.4. Sending out a lot of salary slips

If the Email Salary Slip to Employee option is selected on in Payroll Settings, ERPNext will automatically send Salary Slips to all employees when you submit a Payroll Entry.

You can also create:

  • The email address for sending out slips.

  • The email template that tells employees about their salary, such as the net pay, pay date, and a secure PDF attachment.

  • You can use the Bulk Action option in the Salary Slip List View to send slips to only those employees if some of them don't have valid email addresses or if batch emailing doesn't work. Simply choose the employees you want to email and then select Email Salary Slip from the Actions menu.

  • ERPNext keeps track of all the emails that are sent. This makes audits easier and helps HR teams check that payslips were sent out correctly for compliance and for employees to reflect back on.
