Job Requisition

A Job Requisition is a formal HR document that an organisation uses to officially ask for the hiring of a new employee. It includes all the information needed for the position, such as the expected remuneration and the requirements for hiring. These requisitions are the first step in the hiring process. They can then be used to make Job Openings or be taken into account when making the Staffing Plan's budget, making sure that hiring is based on the company's strategy and budget constraints.

1. Requirements

Before you can create a Job Requisition, you need to set up the following master records so that the request may be linked to them correctly:

  • Designation: The job title or role you want to request must already be in the system so that things like the job description may be brought in automatically.

  • Department (Optional): If you choose, choose the department the position will report to. This will make it easier to find a job that meets the needs of that department.

2. Making a request for a job

  • Go to the Job Requisition list and click on New to start making a new request.

  • Please enter the designation for which you are making the request so that the system knows what the function is and what it entails.

  • To make things clear about the scope and budget, type in the number of positions, the expected salary, the company, and the department (if you like).

  • To keep track of who is responsible and where the request came from, pick the employee who made the request in the Requested By field.

  • You can choose to set the Expected By date to show when you want the job to be filled.

  • You can add further requirements or explanations that are specific to this hiring need if you want to. The Job Description will be loaded from the Designation master.

  • Keep the request. By default, the status will be Pending, but workflows can be set up to move it to the Open and Approved stages, which will let hiring happen.

3. Steps

3.1 Make a Job Opening

When the Job Requisition status is Open & Approved, you can make a new Job Opening right away based on the approved details. This will start the hiring process right away.

3.2 Job Opening for an Associate

You can easily link the requisition to an existing Open Job Opening for the same title to prevent having two of the same job and keep hiring records in one place.

The hiring request procedure is over when the Job Opening is closed (meaning the job has been filled successfully). The Job Requisition status is automatically set to Filled.

4. Characteristics

4.1 Look at the employee referrals that are already there.

If there are existing Employee Referrals for the job title you want, the Job Requisition form will display a banner that shows these referrals. This lets HR focus on internal talent referrals first, before starting a fresh hiring process.

4.2 Get Job Requisitions in the Staffing Plan

When you make a hiring budget in the Staffing Plan, you can easily find and add any Pending or Open & Approved Job Requisitions that are already there. This makes the budgeting process faster and more accurate.

4.3 Metric for Time to Fill

The Time to Fill measure automatically figures out how many days it takes on average to fill a position, from the day the job is listed to the day the job is marked as filled. The performance metric helps keep track of how well the hiring process is going, and the Average Time to Fill is also shown on the Hiring Dashboard so that it can be watched all the time.
