Job Applicant

A Job Applicant is an individual who formally applies for an open job position in your company entered into the system. You can monitor all applicants for available positions in Frappe HR, check how far they have progressed in the hiring process, and view all of their details at one go.

To add a job seeker, proceed to:Home > Human Resources > Hiring > Job Seeker

1. Requirements

Prior to creating a Job Applicant, we recommend that you first create the following master records so that all goes well when you merge them:

  • Staffing Plan: Assist in ensuring that the applicants are associated with approved jobs and hiring funds.

  • Department: Convenient to associate the application to the correct department for improved reporting and analysis.

  • Job Opening: It's crucial to associate the candidate with the appropriate job opening and maintain recruitment records in order.

2. Creating a Job Applicant

  • Navigate to the Job Applicant list and choose New to create a new entry for an applicant.

  • The least information you must enter to keep track of a candidate is his/her name and email address.

  • Select the appropriate job posting so that the candidate can be associated right away with the job being available.

*Select the Source of application, where it may be a campaign, employee referral, walk-in, web listing, or some other source that has been established.

Note that if you select Employee recommendation as the Source, you will also need to fill out the name of the employee making the recommendation in the Source Name field to ensure that the recommendation is properly tracked and accredited
  • Once saved, the candidate's profile is the master document that governs his/her assessment, interviews, and ultimate transfer to the employee database.

3. Traits

3.1 Associating an Email Account

  • You can map Job Applicant to a specific recruitment Email Account so the system can automatically accept applications.

  • If you map the Job Applicant to an email address such as jobs@example.com, the system will automatically create a new Job Applicant record for each email received by that mailbox.

To achieve this, go to Settings > Email Account > New Email Account
  • Enter your password and email address, then activate Incoming Emails.

  • In the Append To field, select Job Applicant so that incoming emails are converted into applicant records.

  • This automation streamlines your recruitment process to be more efficient and automated with fewer manual data entries.

3.2 Following Up on Interviews

  • You can track and follow through on all interviews in a job application directly from their dashboard once you have created them.

  • This feature allows recruiters to view comments, contrast interview rounds, and understand big picture performance before a final recruiting decision.

  • The interview tracking tool facilitates the ability of recruiters and managers to make intelligent decisions by consolidating all of the assessments in one location.

  • This also eliminates bias, maintains a record of all interactions that can be verified, and makes the hiring process transparent.
