  • HR or shift managers are able to deal with shift schedules, use filters, make multi-assigments, and even approve or reject shifts in bulk using this app all from one screen.

1. Things you need to do first

You need to set up and prepare the following documents in your ERPNext system prior to utilizing the Shift Assignment Tool:

  • Employee: You need to have an active employee record for all those people whom you want to assign a shift to.

  • Ensure that all employees' information, such as their department, firm, joining date, and other relevant work-related information, is up to date.

  • Shift Type: There should be at least one shift type with proper start and end times, working hours, and breaks.

  • Shift request: (optional but recommended) Shift changes initiated by the employee should be submitted and pending approval prior to processing.

  • The Shift Assignment Tool will work perfectly and not leave out any essential data if these conditions are met.

2. Utilizing the Shift Assignment Tool

2.1 Scheduling Work

  • Ensure to choose the right Company field and select Action as "Assign Shift."

  • Choose the right company if it's not already in the list.

  • Besides the From Date and To Date which you would like the shift to begin, choose the Shift Type that you would like to offer.

  • All the employees without any overlapping active posted shifts will be automatically included in the Select Employees table below by the system.

  • If you need to, you can make the people available for inactive shifts by clicking on the Status field to select Inactive.

  • Any overlapping shifts that are already assigned will not be considered by the system in this instance.

  • To find employees based on general parameters such as department, branch, job title, or location, utilize the Quick Filters tab.

  • To include more filter conditions, such as grade, preferred shift, or employment type, you need to first visit the Advanced Filters page.

  • Ensure that you add the right people after checking the filtered list in the Select people table.

  • Click the Assign Shift button above once you're happy.

  • The chosen staff members will automatically be assigned shifts for the time frame and shift parameters specified by ERPNext.

  • These can be tracked through reports, and they will be obvious immediately in their records.

2.2 Creating Shift Scheduling

Check that the action is configured to "Assign Shift Schedule" and that the company form has been filled in.

  • Choose the shift schedule you wish to utilize and the dates (from and to) on which it will be active.

  • Choose Employees with nonoverlapping shift schedule assignments will be loaded by the system into the Select Employees table.

  • You can add an End Date, and after that date the automatically generated shift schedule assignments will be deactivated.

  • If no expiration date is added, the ERPNext scheduler will keep on assigning shifts automatically, and the schedule will not be removed.

  • To find certain employees who meet your specifications, apply the Quick Filters or Advanced Filters.

  • Click the Assign Shift Schedule button upon choosing employees from the table.

  • The system then automatically allocates the corresponding shifts according to the schedule setup after generating shift schedule assignments for the chosen staff.

2.3 Handle Requests for Shifts

  • Ensure the action is "Process Shift Requests" and the company is chosen.

  • By choosing a particular Shift Type or Approver, you can focus requests.

  • To screen only requests submitted between that time period, adjust the From Date and To Date accordingly.

  • Minimize open requests using the Quick Filters or Advanced Filters.

  • Select the requests you want to deal with in the Select Shift Requests table.

  • A popup box window will appear when you press the Process Requests button at the top. From this box, click Approve or Reject.

  • The system will then update the status of the selected requests. Approved requests will be filed and shown as an active shift assignment, while rejected ones will be given a rejection status and reason.
