Leave Block List

Leave Block List is a schedule of specific days within a calendar year in which workers are not permitted to take time off. These days are typically selected when there is much to be done, significant project deadlines, hectic periods for the company, or other occasions when it's crucial that as many employees as possible are present. It ensures that companies utilize their resources efficiently by ensuring that there are no holes in employee availability on crucial days. You not only can block these dates in ERPNext, but you can also allow Leave Approvers to make exceptions. They can approve leaves on blocked days if there is an emergency or something else which cannot be avoided. This ensures that actual situations still have room to be flexible with their operations even when rules regarding time off are involved. In order to access the Leave Block List, go to Home > Human Resources > Leaves > Leave Block List.

1. Requirements

Before you create a Leave Block List, ensure that your ERPNext system has all the records and settings you require:

  • Company: You should create a record of your company so that the block list can be used by everyone in the company.

  • Department: To use leave blocks on only specific teams or sections of the organization rather than the organization as a whole, you should create departments.

  • Leave Period: This displays to you the dates when the blocked dates will be live, ensuring they align with the leave cycle.

  • Holiday List: This allows you to contrast public or organizational holidays so you do not block days that are already non-working days.

2. Creating a Leave Block List

  • On the Leave Block List page, click on "New."

    • Name the Leave Block List in a clear and descriptive way so that it is easy to locate later (e.g., "Year-End Peak Season Block 2025").

    • Put each Block Date and the Reason for blocking that date in the Leave Block List Dates table.

    • Providing reasons makes things transparent and visible for both employees and approvers.

    • Add the Users that are able to approve leave requests for these blocked dates to the Leave Block List Allowed database. This ensures that approved approvers may still provide leaves if they absolutely need to.

    • Save the record after you have everything in there.

Tip: If you select the "Applies to Company" check box, the Leave Block List will apply across all employees in the company

If you do not select this option, you will be required to add the Leave Block List to each Department manually where you wish to have it applied. This offers you more flexibility in selecting different block dates for different teams or business units.
