Job Opening

A job opening is an open job vacancy in your company. It lets you officially record and keep track of all the jobs that need to be filled as part of the hiring process. Keeping Job Openings in the system not only helps you organise your hiring process, but it also makes sure that all of your hiring is in line with your budget and workforce plans.

Frappe HR gives you the freedom to organise your company's hiring in an efficient way while keeping strict control over the amount of positions you can establish. The Staffing Plan sets a limit on how many Job Openings you can create for a certain Designation. This limit can be set at the company level or passed down from one of its parent group companies in the organisational hierarchy. This keeps hiring discipline.

Please make sure that the "Check Vacancies On Job Offer Creation" checkbox is checked in the Hiring Settings section of the HR Settings. This will make sure that the specified limits are not skipped throughout the hiring process.

1. Requirements

Before you make a Job Opening, it is best to have the following records ready:

  • Staffing Plan: This plan sets the maximum number of open positions for each job title and makes sure that hiring stays within the allocated budget for headcount.

  • Department: The structure of the department must be set up such that every job opportunity can be connected to the right function or business unit.

2. How to make a Job Opening

  • Go to the Job Opening list and select New to add a new entry.

  • Type in the Job Title. It will show up in the system and on the Job Portal if it is listed.

  • Choose the opening's Designation and Department. When you choose a Designation, the Staffing Plan and the Planned Number of Positions will be immediately collected to make sure that the vacancies are valid.

  • Keep the record. Once you save the Job Opening, it becomes a real job opening that may be used for hiring.

  • You may make a new Job Applicant right from the Job Opening dashboard. This makes it easy to go from creating a job opening to getting applications from candidates.

Tip: Set the Status of a Job Opening to Open or Closed by hand. When a Job Opening is closed, no new Job Applicants can be made against it. This means that the hiring process is over when the roles are filled.

3. Characteristics

3.1 Job Board

You can immediately post a job opening on your company's Job Portal by turning on the "Publish on website" feature. This makes the job position visible to people outside your company, who may read about it and apply immediately from your site. This feature lets businesses bring in outside applicants, get more exposure, and have candidate applications sent directly to ERPNext.
