Employee Transfer

Transfer of Employees is a scheduled means of shifting employees from one place to another in a firm. A worker can shift from one position to another, either horizontally or vertically, as per the needs of the firm. The transfer may be between departments, sites, units, or even firms in the same group. This facilitates easier handling of the employees and keeps the commercial activities on track.

The Employee Transfer form in Frappe HR allows you to accurately capture, monitor, and execute employee transfers while providing complete transparency into the modifications being executed.

This ensures that HR departments maintain proper records of employee movement and are able to execute transfers according to corporate standards and objectives of employee development.

To access Employee Transfer, navigate to:Employee Transfer in Human Resources > Employee Lifecycle

1. Requirements

As a prerequisite for making an Employee Transfer, you should have already made all the required entries in your system:

  • *Employee The system should have an employee record of the employee to be transferred.

  • Department: The departments required should be configured in advance so that the transfers are correctly mapped to them.

2. How to create a transfer for an employee

  • To create a new transfer documents, go to Employee Transfer > New.

  • Select the staff from the list, ensuring you select the appropriate staff record.

  • Input the Transfer Date, being the date when the transfer comes into force.

  • If the staff member is transferring within the group from one firm to another, select the New Company. This is not mandatory but useful in cases involving multiple firms.

  • Select the Property (like Department, Designation, Grade, etc.) in the Employee Transfer Details table, then modify the Current and New values to reflect the variations.

  • You may also mark the "Create New Employee" box if a new Employee ID must be created for the transfer.

Note: If the "Create New Employee" box is checked, the system will create a new Employee record at once with the new details from the Transfer Details table
  • Meanwhile, the previous Employee record will be marked as "relieved," which will ensure that active employees have no duplicate records.

  • The leave time of the new Employee will not automatically transfer.

  • They must be transferred manually from the Leave Period to ensure that leave tracking is accurate after the transfer.

How the Employee Transfer Process Works

  • HR administrators can verify all the details and send the transfer after the transfer document is saved.

  • The changes described in the Transfer Details table are applied to the Employee immediately after you submit.

Note: You can only submit the Transfer document on or after the Transfer Date.
  • This ensures that the regulations are complied with and that changes are not made inadvertently prior to the actual transfer date.
