Employee Referral:
The best method of sourcing new employees is by hiring them internally. Through the employees' networks, you are able to source the best candidates.
You save time, effort, and money when you hire people, and it ensures that you obtain better workers who are more dependable.
The Employee Referral technique allows existing employees to suggest a referral from their work or social contacts to occupy a vacant position.
Frappe HR facilitates easy tracking and monitoring of employee suggestions by allowing you to input both the candidate's details as well as the incentives for the referral.
1. What you need
Prior to making an Employee Referral, it is preferable that the following be in the system:
Employee: The referrer should be a valid employee within the system, since only registered employees can perform this function.
Extra Salary: You should record any referral rewards your company pays you within your Extra Salary history.
Job Applicant: The referral will ultimately be associated with a Job Applicant record, which contains details about the individual and how to hire them.
2. An Employee Referral Guide
To create a new referral record, click on Employee Referral. Enter. the individual's fundamental data, e.g., last name, first name, email address, and other means of contacting him/her.
Select the Employee from the list of Referrers.
This indicates who within the company is doing the referring.
Once you complete all of the information, click "Save" and then "Submit" to save the recommendation in the system.
This process ensures that the referral is thoroughly documented and can be traced to a Job Applicant in the future so that it may be pursued when hiring.

3.1 Creating a Job Applicant and Updating Them Automatically
When you submit an Employee Referral document for the first time, it will read "Pending."
There will be an "Create Job Applicant" button in the top right of the form that you submit your application on.
When you submit your application, this button will create a new Job Applicant with an Open status.
This will link the referral to the hiring process.
At this stage, the Employee Referral document status will switch from Pending to In Process, indicating that the candidate has reached the recruiting stage.
When the Job Applicant's status is changed to Hold or Replied subsequently, the Employee Referral will remain in In Process status.
If the status of Job Applicant changes to Accepted or Rejected, the Employee Referral document status would change to Accepted or Rejected as well.
The auto-sync ensures that the candidate application state and the referral record are always in sync.

3.2 Handling Referral Bonuses
Most companies provide a referral bonus to their employees to encourage them to recommend good candidates.
You may monitor and track the payment of these referral bonuses from the Employee Referral record in Frappe HR.
When you submit the Employee Referral, ensure you check the box beside "Is applicable for referral bonus."

- When you click on the button, you will be directed to the Additional Salary form where you can select the appropriate Salary Component and input the Payroll Date.

You may enter and save the extra salary entry once you have completed filling all the fields.
This will ensure that the regular wage and the referral bonus are both paid.
This feature ensures that employees are paid punctually for their ideas and that the process of payment is transparent.
