Employee Promotion

Promotion or career progression takes place when a worker of a company is assigned additional responsibilities, an elevated rank, or a novel compensation scale.

  • It is frequently one means of demonstrating that the worker's efforts are appreciated and that it is a significant element of career development, retaining employees, and enabling the organisation to thrive.

  • The Employee Promotion document in Frappe HR allows you to manage employee promotions and all the modifications that accompany them.

  • The document ensures all modifications to an employee's role, grade, pay scale, or reporting hierarchy are captured and monitored in one place.

Navigate to Employee Promotion as follows: Human Resources > Employee Lifecycle > Promotion of Employees

1. Requirements

Prior to the Employee Promotion, you must ensure that the required paperwork are in order. These are the fundamental documents that the promotion process must function under.

  • Employee: The primary document of the individual being promoted.

  • Department: The department where the employee is currently employed or will be relocated to after promotion.

  • Having these documents prepared simplifies obtaining the data and reduces errors individuals enter manually throughout the promotion process.

  • It also maintains the promotion record tied to the employee's complete profile in ERPNext.

2. Giving an Employee a Promotion

Go to Employee Promotion > New

  • This opens a new window where you write down the details of the employee promotion.

  • Select the Employee who is receiving the promotion.

  • Once you select an employee, their existing information will be automatically populated from the Employee master record.

  • Enter the Promotion Date, which is the date when the promotion will begin.

  • Depending on the organisation's rules, this date may be today, in the future, or in the past.

  • Select the Property you wish to modify in the Employee Promotion Detail table.

  • Depending on what the promotion is, this may be the employee's designation, grade, department, or salary structure.

  • Input the Current Value as per the current record of the employee, and then input the New Value that will be effective once the promotion is done.

  • This clarifies things and puts you in perspective about the transformation before and after it occurs.

Key:

  • You can submit the Promotion document on or after the Promotion Date indicated in the record.

  • Once you save the changes in the Promotion Details table, they will be automatically updated to the Employee master record with no additional effort.

  • The Employment History table in the Employee document also contains a complete record of all the promotions Frappe HR maintains.

  • This provides HR teams and managers with a clear record of an employee's enhancement which they can utilize during performance appraisal, salary adjustments, or audits.

  • Step-by-step process ensures that promotions are always documented, and the company maintains records of all the career milestones of its employees that can be verified.
